Three years ago I signed a contract with a rent guarantee company (hoshou gaisha) that looked great on paper u2014 low fees, fast approval, glossy sales brochure. Eight months later one of my tenants missed rent, I filed a claim, and it took 47 days and four phone calls before I saw a single yen. I never made that mistake again, and now I run every guarantor company through the same checklist before I let them anywhere near my leases.
Across my 9 properties I’ve worked with five different guarantee companies over 15 years. Some paid out in under 10 days. One nearly went under and left two of my units exposed for a month. The difference between a good guarantor company and a bad one isn’t the fee u2014 it’s what happens the day a tenant actually stops paying.

Anyone can register a company and print a brochure. I want to see at least 10 years of continuous operation before I trust a guarantor with my cash flow. Ask directly for their founding year and registration number, then look them up through the Japan Credit Guarantee Association member list or the Ministry of Land, Infrastructure, Transport and Tourism’s registered list of rent guarantee businesses. If a company can’t produce a registration number on the spot, that’s already a red flag u2014 I’ve walked away from two sales meetings over exactly this.

Landlord-Tenant Law Guides
Know exactly what you can and cannot do u2014 essential reading before any dispute.
This is where most landlords get burned, including me the first time. The contract language matters more than the monthly fee.
- How many days after a missed payment can you actually file a claim u2014 some companies make you wait 30 days, others let you file after just 1 missed payment
- What’s the maximum payout period u2014 I’ve seen contracts capped at 12 months and others that cover up to 36 months of unpaid rent
- Does the guarantee cover unpaid utilities and restoration costs, or rent only
- Is there a cap on the total payout amount, expressed as a multiple of monthly rent (commonly 24 to 36 times)
- What documentation do they require to start a claim u2014 some ask for a court filing before they’ll pay a single yen
On one property renting for u00a585,000 a month, my old guarantor capped total payout at 24 months’ rent u2014 about u00a52,040,000 u2014 but required me to have already filed for eviction through small claims court before releasing any funds. That single clause cost me nearly two months of delay I didn’t budget for.
Ask About Their Claims Payment Speed, Not Just Their Promise
Every sales rep will tell you claims are processed “quickly.” I stopped accepting that answer and started asking for a specific number: average days from claim submission to first payment. A company that can’t or won’t give you a number in writing is telling you something. My current guarantor company commits to 14 business days in the contract itself, with a penalty clause if they miss it u2014 and in three years they’ve never gone past 11 days on any of my claims.

Property Inspection Forms & Checklists
Document everything. A signed checklist at move-in prevents every deposit dispute.
A guarantee company is only as good as its ability to pay out during a downturn. During the pandemic, several smaller guarantee firms in Japan folded or froze payouts because they didn’t have the reserves to cover a spike in defaults across their whole tenant pool. Ask which bank or insurance group backs them, and whether they carry reinsurance. I now only sign with companies that are either publicly listed or backed by a major bank group u2014 it costs me maybe u00a5300 more per unit per year in guarantee fees, but I sleep better.
Talk to Other Landlords, Not Just the Sales Rep
I found my current guarantor through a landlord association meetup, not a cold call. Before switching, I asked three other landlords in my network who’d filed real claims with that company what their actual experience was u2014 not what the marketing said. Two of them had filed within the past year and both got paid inside 12 days. That kind of secondhand confirmation is worth more than any brochure.
Compare the Real Cost, Not Just the Sticker Price
Guarantee fees typically run 50% to 100% of one month’s rent upfront, plus an annual renewal fee of around u00a510,000 to u00a515,000 per unit. The cheapest option I ever used charged just u00a58,000 a year, but their payout cap was only 12 months of rent and they required 45 days of nonpayment before you could even file. I did the math on that: for a u00a570,000/month unit, that’s a maximum protection of u00a5840,000 with a huge delay built in. My current company charges u00a513,000 a year but covers up to 36 months and pays out inside two weeks. For me, that gap is worth every extra yen.
My Final Checklist Before Signing
Before I sign with any guarantor company now, I confirm: 10+ years in business, a registration number I can verify independently, a written commitment on claim processing days, a payout cap of at least 24 months’ rent, and at least two other landlords who’ve actually filed a claim with them. If a company can’t check every one of those boxes, they don’t touch any of my 9 properties, no matter how good the sales pitch sounds.
That’s the approach I use across all 9 of my properties, and it’s the difference between a rent guarantee that’s just a line item on a lease and one that actually saves me when a tenant stops paying.
